Your information at Artsyol
Artsyol Ltd is responsible for the personal information you provide when you contact us through this website. Our company number is 17421182 and our registered office is 124 Fishers Way, Wembley, United Kingdom, HA0 2FU.
For questions about your information or to exercise your privacy rights, email info@artsyol.co.uk or write to Artsyol Ltd at our registered office.
What we collect
We collect the information you enter in our enquiry and registration forms. Depending on your request, this includes your name, organisation, email address, telephone number, property location, accommodation requirements, property details, trade information, job details, preferred timescale, and any supporting photographs or documents you choose to provide. We also retain the submission date and related correspondence.
Required fields are marked on each form. They help us understand and respond to the enquiry; without the relevant details we may be unable to take it forward. Optional information can be left blank. Please provide only information relevant to your request. Avoid including identity documents, financial account details, medical information or identifiable information about occupants unless we specifically explain why it is needed and how to provide it.
Why we use it
We use your information to respond to enquiries, understand property requirements or properties being offered, assess trade registrations, prepare quotations, coordinate requested services and keep the records needed to manage those activities.
Where you personally ask for a quotation or another step towards a contract, or we provide a service under a contract with you, we use the information necessary for that request or contract. Where you contact us on behalf of an organisation, or we handle general business enquiries and maintain security, our basis is our legitimate interest in responding to requests, managing business relationships and protecting our systems, balanced against your rights. Where the law requires particular records, we use the information to meet that obligation.
Sending an enquiry is not consent to receive promotional messages. You can object to the use of your information for direct marketing at any time.
Where information goes
Website forms and associated contact records are handled through Wix. Our business email uses Google Workspace, and form notifications and correspondence may be held there. We also keep enquiry and operational records in Google Sheets; relevant details may be copied there from Wix manually or through our integration.
Taking a request forward may involve relevant property owners, accommodation organisations, contractors or professional advisers. The details needed depend on the request and the stage it has reached. We will explain any proposed sharing that is not already clear from your request. You can ask us about this before providing further information.
Wix and Google operate international infrastructure, so information handled by those providers may be processed outside the UK. Their published data-protection terms describe their transfer arrangements and safeguards. Contact us if you would like information about the safeguards relevant to your enquiry.
How long we keep it
Retention depends on what the record is needed for. For enquiries that do not proceed, the relevant considerations are whether the enquiry is still active, whether follow-up is needed and whether a complaint remains unresolved. For property, trade and job records, we also consider the duration of the business relationship, work still to be completed, and any legal or accounting records we must keep.
Records should be reviewed when an enquiry closes, a relationship ends or the reason for keeping information changes. Information no longer needed for these purposes should be deleted or anonymised. You may contact us to ask what we hold and why it is still required.
Your rights
Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to its use, or request a portable copy. Where a particular use relies on consent, you can withdraw that consent without affecting processing already carried out lawfully. Some rights have conditions or exceptions, which we will explain if relevant to your request.
Contact info@artsyol.co.uk. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
Cookies and updates
Our Cookie Policy explains cookies and similar technologies. We will update this notice when the way we handle website enquiries changes. Please check it before providing information for a new purpose.
